Supported email accounts

Windows Phone 7 accommodates multiple types of email accounts, including personal and organization-specific accounts. Supported email protocols include Exchange ActiveSync® (EAS) as well as POP/IMAP for web–based email or other email providers. Users can retrieve and send mail using Outlook Mobile 2010, which comes pre-installed on all Windows Phone 7 phones. Also, it is important to note that setup of EAS email accounts provides the ability to include contact and calendar information, which are associated with the account and made available on the phone.

Outlook Mobile 2010

The Outlook Mobile 2010 client is the default email client on Windows Phone 7 phones. Users can send and receive email from almost any email account, including Microsoft Exchange Server accounts, Internet service provider (ISP)–based accounts, or other Internet–hosted email accounts, such as Windows Live® Hotmail®, Google Mail, and Yahoo! Mail.

Users can easily configure multiple email accounts on Windows Phone 7. For each email account that is added and configured, a new Live Tile is added to the Start screen. These tiles will update automatically to display the number of unread emails since the user last opened that email account. Tapping a tile automatically opens the inbox of a specific account. Email from multiple accounts is not mixed into one inbox, but kept separate for easy processing.

Inbox experience

The user experience of email on Windows® Phone 7 is smoothly integrated with the Windows Phone 7 user experience in general.

When opening their email inbox, users automatically see the last email messages they received and can scroll down to look at previously received messages. The email inbox shows sender, subject and the first few lines of body text. Unread emails are easily distinguished from those that have been read. The inbox user interface also indicates previous actions taken on an email message, such as whether they were replied to or forwarded, flagged messages, urgent messages, and whether an attachment is included.

Other email features and functionality on Windows Phone 7 include the following:

  • Smart filtering, which allows users to flick right and left between ‘all emails,’ ‘unread email,’ ‘flagged email,’ and ‘urgent email.’ This capability makes email filtering easy and enhances productivity.
  • The dedicated search button on every Windows Phone 7 phone allows users to locate messages and contacts by typing a few search characters.
  • The Windows Phone 7 inbox allows users to select single or multiple email messages and mark them for action, including delete, move to folder, forward, mark as read or unread, set flag, complete, and remove flag.
  • When reading email messages, users can reply, reply all, forward, delete, move, flag, or move the email to a folder.
  • When creating a new email message, users can select recipients from the People Hub on the phone or search the Outlook global address list when connected to a Microsoft Exchange server.
  • When typing the subject line or the message body, Windows Phone 7 will suggest words based on the letters that users type. Also, spelling errors are automatically corrected or underscored.
  • If users do not have time to type a message, they can record a voice note in OneNote® Mobile on Windows Phone 7 and send the note as a message attachment. Pictures from the phone can also be included in messages.
  • Integration with the Office Hub allows users to easily send Microsoft Office documents from the phone as attachments to email.
  • When working with Exchange Server 2010, users can get a voice-to-text preview of a recorded voice message delivered to their inbox. Users with Exchange Server 2007 or later accounts can search their organization’s global address lists.

Email account setup

Windows® Phone 7 users can automatically or manually set up Exchange accounts, POP/IMAP accounts, and web–based email accounts such as Yahoo! Mail.

Exchange account setup includes the ability to configure “push” delivery options.

To set up email accounts

  1. From the Windows Phone Start screen or from the app list, select settings.
  2. In the settings page, select email & accounts.
  3. In the Email & accounts screen , select "add an account". Users can select Windows Live Hotmail, Outlook, Yahoo! Mail, Google, or other account for automatic setup, or advanced setup for manual configuration.
  • Selecting one of the automatic options will prepopulate the options after users enter their email address and password. Users can simply tap on the option for the email service they use, and enable that account option. The phone will then connect with the email service and attempt to automatically configure the email inbox for the account.
  • If you are adding an EAS account, you will see an option to also synchronize contacts and calendar items in one pass.
  • For Exchange accounts, the Exchange Autodiscover feature is used to simplify the server connection and authentication process. Also, EAS policies are automatically applied.   • When selecting the advanced setup option, all account information including server address needs to be entered manually by the user.

Email account removal

Email accounts on Windows Phone 7 phones can be removed by users.

To remove email accounts

  1. From the Windows Phone Start screen or from the app list, select settings.
  2. In settings page , select email & accounts.
  3. Tap and hold the account you want to remove; a pop-up will display that includes an option to delete.
  4. Confirm delete.
  5. The email account is removed.

Associated contact and calendar information is also removed.
